Job Title: Office Manager

Company: Writtle Forest Consultancy Ltd
Location: Chelmsford, Essex

Position Overview:
As the Office Manager, you will play a crucial role in ensuring the smooth operation of our office environment. You will be responsible for coordinating projects and consultants, liaising with Clients, overseeing office activities and administrative tasks, supporting consultants to maintain a productive and efficient workspace.

Key Responsibilities
Office Administration:
Manage daily administrative operations, including but not limited to, dealing with Client enquires, organising consultants diaries, implement and maintain office policies and procedures to enhance efficiency and compliance.

Communication and Coordination:
Act as the primary point of contact for internal and external communications, both written and verbal.
Coordinate meetings, appointments, and events, ensuring all logistics are in place.

Team Support:
Provide administrative support to various departments, including document preparation, data entry, and report generation.
Distribution of digital reporting and deliverables to the client.
Assist in the recruitment process by scheduling interviews and onboarding activities.

Travel and Accommodation Arrangements:
Coordinate travel itineraries, hotel bookings, and transportation arrangements for employees and visitors.

Sub-contractor Management:
Liaise with sub -contractors to aid with logistics, Client liaison and deliverables. To ensure timely and cost-effective use of sub contracted assistance.

Financial Administration: Assist in budget management, including tracking expenses and preparing reports for review by management. Deal with invoicing, purchase orders

Health and Safety Compliance:
Implement and maintain health and safety protocols to create a secure and compliant work environment.

Problem Solving: Act as a point of contact for resolving administrative issues, providing creative solutions where necessary.

Qualifications:
Proven experience as an Office Manager or in a similar administrative role. Excellent organisational and multitasking abilities. Strong communication and interpersonal skills. Proficiency in office software (e.g., MS Office, Excel, Xero, Monday (or similar PM software). Knowledge of basic financial and budgeting principles. Ability to handle confidential information with discretion.

Education:
Bachelor’s degree in Business Administration or related field is preferred.

Job Title: Arboricultural Consultant

Position Overview:
As part of a small, skilled, professional team the role will require a high degree of expertise and knowledge in trees and related disciplines. You will be responsible for the management of your own projects, liaising with Clients, collaborating with other consultants.

Key Responsibilities
Tree Assessment and Inventory:
Conduct tree inspections to assess health, condition, and structural integrity.
Identify and document tree species, size, age, and potential risks or issues.
Prepare comprehensive tree inventories, including mapping and data collection.

Tree Risk Assessment:
Evaluate trees for potential hazards, such as disease, structural defects, unstable root systems.
Assess the proximity of trees to buildings, infrastructure, and public spaces, and identify potential risks.
Provide recommendations for tree management, including pruning, removal, or mitigation measures to minimise risks.
Decay Detection Testing including Sonic Tomography, Resistance Drilling and Static Pull Testing

Arboricultural Management Plans:
Develop customised management plans for clients, outlining strategies to preserve, maintain, and enhance tree health.
Provide recommendations on tree planting, species selection, and appropriate maintenance practices.
Advise on soil management, irrigation, and other factors that affect tree growth and vitality.

Tree Preservation in Development Projects (BS5837):
Evaluate the impact of development activities on existing trees and advise on methods to protect trees and minimise damage.
Collaborate with architects, developers, and landscape architects to integrate trees into site design and planning.
Prepare reports, plans etc to support tree preservation during the construction phase.

Consultation and Client Communication:
Collaborate with clients, stakeholders, and other professionals to understand their objectives and address their tree-related concerns.
Offer professional advice and recommendations on tree care, management, and preservation.
Communicate findings, reports, and management plans clearly and effectively to clients and other relevant parties.

Professional Development and Education:
Stay updated on the latest research, industry standards, and best practices in arboriculture. Attend conferences, workshops, and training sessions to enhance knowledge and skills.

Qualifications and Skills:
2- 3yrs experience of on-site surveying, report writing and deliverables for planning.
Level 4 Arboricultural Technician Certificate minimum requirement Professional Tree Inspectors certificate preferable
A degree in arboriculture, forestry, horticulture, or a related field preferable.
Proficient in tree assessment and risk evaluation techniques.
Professional certifications, such as ISA Certified Arborist or Tree Risk Assessment Qualification (TRAQ) preferable.
Professional membership of the Institute of Chartered Foresters or another relevant professional body is desirable.
Climbing ability and certification preferable.
Strong knowledge of tree species, pests and diseases.
Familiarity with all relevant regulations, codes, and guidelines related to trees and forests. Good communication skills, both written and verbal.
Office, word and excel proficient.
Strong analytical and problem-solving abilities.
Ability to work independently and manage multiple projects simultaneously.
Proficiency in using arboricultural software, GIS, CAD and other relevant tools.
Driving licence.
